  • Luxury Picnics are décor rental services only.

    They include:

    • Décor rentals

    • Delivery

    • Setup styling

    • Pickup

    Luxury picnic gatherings are client-hosted. Official Luxury Picnics does not host, manage, or supervise guests for picnic rentals.

  • Yes. Official Luxury Picnics does host and coordinate events for non-picnic services, such as tablescapes, room décor, and private events at permitted or private locations.

    Hosting and coordination apply only to services booked as hosted events and do not apply to luxury picnic décor rentals.

  • To confirm any service, a 50% reservation retainer is required at the time of booking. This retainer secures your date, time, and inventory.

  • The remaining 50% balance must be paid in full no later than five (5) days prior to the scheduled service or rental date.

    Bookings are not considered confirmed until the reservation retainer is received.

  • Failure to submit the remaining balance by the deadline may result in cancellation of the booking without refund of the reservation retainer.

    • Cancellations made more than five (5) days prior to the scheduled date may be eligible for rescheduling, subject to availability.

    • Cancellations made within five (5) days of the scheduled date are non-refundable.

    • Same-day cancellations are non-refundable.

  • Because picnic décor rentals take place outdoors, clients are responsible for monitoring weather forecasts.

    Weather-related rescheduling requests must be submitted at least 48 hours before the scheduled rental date.
    Approved reschedules may be moved to a new date within 30 days of the original date, subject to availability.

    Rescheduling requests made less than 48 hours prior are not guaranteed and may result in forfeiture of the reservation retainer.

    Once delivery or setup styling has begun, the rental is considered fulfilled. Day-of weather changes do not qualify for refunds or rescheduling.

    In cases of severe weather affecting safety, Official Luxury Picnics may delay, pause, or cancel setup for safety reasons.

  • No. Official Luxury Picnics does not reserve public park spaces or obtain permits on behalf of clients

  • Clients are responsible for:

    • Confirming whether a permit is required

    • Obtaining any required permits

    • Complying with all park rules and regulations

  • Official Luxury Picnics is actively reaching out to local parks to introduce our rental model and build a reputable reference list for clients.
    Until partnerships are confirmed, all park locations are client-selected and permit-dependent.

  • Public parks operate on a general-use basis unless a specific area is reserved by permit.

    Exact placement is contingent upon:

    • Foot traffic

    • Park activity

    • Available open space at the time of staff arrival

    Exact placement is not guaranteed, even with a preferred area request.

    The exact location will be sent out via text at least 1-hour prior to your scheduled picnic rental period

  • Clients are responsible for compliance with park authorities.
    No refunds or reschedules will be issued due to permit issues, rule violations, or park enforcement actions.

  • Alcohol policies vary by location.

    Clients are solely responsible for:

    • Confirming alcohol rules

    • Obtaining required permits

    • Complying with all laws and venue policies

    Official Luxury Picnics does not provide or serve alcohol unless explicitly contracted through a licensed third-party vendor.

  • Once décor is delivered and styled, responsibility transfers to the client until pickup.

    Clients are liable for:

    • Loss

    • Theft

    • Damage

    • Weather exposure

    Repair or replacement fees may apply.

  • Replacement or repair fees will be assessed based on the condition and value of the affected items.

  • Clients are responsible for all venue rules and cleanup. Any venue-imposed fees for cleaning or damage due to décor are the client’s responsibility.

    Official Luxury Picnics is not liable for damages that occur during client cleanup or removal, including wall damage, furniture damage, or adhesive residue.

    LP can provide a cleaning service for an additional fee

  • Hotels and venues may charge additional cleaning, damage, or policy-violation fees related to décor installations.

    All such fees are the sole responsibility of the client.

    Official Luxury Picnics is not responsible for:

    • Damage during client removal or cleanup

    • Wall, ceiling, or furniture damage

    • Adhesive residue

    • Venue-imposed fines or fees

    We do offer a clean up service in order to prevent such issues. But that service would need to be added onto your booking.

  • No. Official Luxury Picnics does not prepare, sell, or serve food and does not act as a caterer.

    Food and floral items are prepared by independent third-party vendors.

  • Clients must ensure access at the scheduled setup time. Delayed access may shorten the rental or service period without refund.

  • Late arrival or early departure does not extend the rental period or reduce pricing.

    We do advise that Picnic Rental items not be left unattended at any time during your rental period.

  • Once setup styling is complete, décor items should not be relocated without approval. Moving items may cause damage or interfere with pickup logistics

  • You may schedule as far in advance as you’d like. For picnic rentals, the minimum notice is five (5) days prior to your desired date. Rushed picnics may be available on shorter notice and may incur a rush fee.

  • Changes must be submitted at least five (5) days before your scheduled rental. Reductions in add-ons, guest count, or package size after that time are not guaranteed and are not refundable.

BOOKING AGREEMENT & TERMS AND CONDITIONS

By booking with Official Luxury Picnics (“Company”), the client (“Client”) acknowledges and agrees to the following Booking Agreement & Terms and Conditions. These terms govern all services provided by Official Luxury Picnics.

1. Service Classification Notice

Official Luxury Picnics offers multiple service types, each with a different scope of responsibility.

  • Luxury Picnic Décor Rentals are rental-only services and are not hosted events.

  • Event Styling, Tablescapes, Room Décor, and Private Events may include hosted or coordinated services when booked as such and occur at private or permitted locations.

This distinction applies throughout this Agreement.

2. Nature of Services

2.1 Luxury Picnic Décor Rentals

Luxury Picnic services include:

  • Décor rental items

  • Delivery

  • Setup styling

  • Pickup

Luxury picnic gatherings are client-hosted. Official Luxury Picnics does not:

  • Host or manage guests

  • Provide on-site event staff

  • Reserve public spaces

  • Guarantee park permissions

2.2 Hosted & Styled Event Services (Non-Picnic Services)

For services including but not limited to:

  • Tablescapes

  • Room décor

  • Private celebrations

  • Partner or venue-based events

Official Luxury Picnics may act as an event host, coordinator, or stylist, depending on the service booked. These services occur at private residences, hotels, venues, or partner properties.

3. Booking & Payment Terms

3.1 A 50% reservation retainer is required at the time of booking to secure the requested date, time, and inventory.
3.2 The remaining balance must be paid in full no later than five (5) days prior to the scheduled service or rental date.
3.3 Bookings are not confirmed until the reservation retainer is received.
3.4 Failure to pay the remaining balance by the deadline may result in cancellation without refund of the reservation retainer.

4. Cancellation Policy

4.1 Cancellations made more than five (5) days prior to the scheduled date may be eligible for rescheduling at the Company’s discretion, subject to availability.
4.2 Cancellations made within five (5) days of the scheduled date are non-refundable.
4.3 Same-day cancellations are non-refundable.

5. Weather Policy (Outdoor Picnic Rentals)

5.1 Weather-related rescheduling requests must be submitted at least forty-eight (48) hours prior to the scheduled rental date.
5.2 Approved reschedules must occur within thirty (30) days of the original date, subject to availability.
5.3 Weather-related requests made less than 48 hours prior are not guaranteed and may result in forfeiture of the reservation retainer.
5.4 Once delivery or setup styling has begun, the rental is considered fulfilled and is not eligible for refunds or rescheduling.
5.5 In cases of severe weather creating unsafe conditions, Official Luxury Picnics reserves the right to delay, pause, or cancel setup for safety reasons.

6. Location, Parks & Permits

6.1 Clients select their own locations.
6.2 Official Luxury Picnics does not reserve public spaces or obtain permits on behalf of clients.
6.3 Clients are responsible for:

  • Confirming location rules

  • Obtaining required permits

  • Complying with all regulations

6.4 In public parks, exact placement is not guaranteed and depends on foot traffic, park activity, and available space at the time of staff arrival.
6.5 No refunds will be issued due to park enforcement, permit issues, or required relocation.

7. Alcohol & Guest Conduct

7.1 Alcohol policies vary by location.
7.2 Clients are solely responsible for complying with alcohol laws, permits, and venue rules.
7.3 Official Luxury Picnics does not provide or serve alcohol unless explicitly contracted through a licensed third-party vendor.
7.4 Clients are responsible for guest behavior at all events.

8. Responsibility for Rental Items (Picnic Services)

8.1 Once décor is delivered and styled, responsibility transfers to the Client until pickup.
8.2 Clients are liable for:

  • Damage

  • Theft

  • Loss

  • Weather exposure

8.3 Repair or replacement fees will be charged for damaged or missing items.

9. Room Décor, Tablescapes & Hotel Liability (IMPORTANT)

9.1 Room décor and tablescape services occur at private locations including hotels, residences, and short-term rentals.
9.2 Clients are responsible for:

  • Adhering to venue policies

  • All cleanup after décor services

9.3 Official Luxury Picnics is not responsible for damage caused during client removal, adjustment, or cleanup of décor items.
9.4 Hotels and venues may charge additional cleaning, damage, or policy violation fees related to décor installations.
9.5 Any such fees are the sole responsibility of the Client, regardless of Company involvement.

Official Luxury Picnics is not liable for:

  • Wall or ceiling damage

  • Adhesive residue

  • Furniture damage

  • Venue-imposed fines

10. Third-Party Vendors

10.1 Food, florals, or specialty items are prepared by independent third-party vendors.
10.2 Official Luxury Picnics may coordinate pickup and delivery only as a convenience.
10.3 The Company does not prepare, sell, or serve food and does not act as a caterer.
10.4 Vendor items are subject to vendor policies and availability.

11. Access, Timing & Delays

11.1 Clients must ensure access to the location at the scheduled setup time.
11.2 Delayed access may shorten the rental or service period without refund.
11.3 Early departures do not extend time or reduce pricing.

12. Force Majeure

Official Luxury Picnics is not liable for delays or failures caused by events beyond its control, including severe weather, acts of God, government restrictions, venue shutdowns, or emergencies.

13. Limitation of Liability & Indemnification

13.1 Official Luxury Picnics is not liable for:

  • Personal injury

  • Guest conduct

  • Venue enforcement actions

  • Property damage beyond rented décor

13.2 Liability is limited to the amount paid for services rendered.
13.3 Client agrees to indemnify and hold harmless Official Luxury Picnics from claims arising from guest actions, venue violations, or misuse of rented items.

14. Agreement Acknowledgment

By booking with Official Luxury Picnics, the Client confirms they have read, understood, and agreed to all terms and conditions outlined above and acknowledges that service responsibilities vary by service type.
